Communication meetings
Communication is believed to be a concrete way to express employee needs, solve problems, and for managers to pass on information to the subordinates. Learn from workers behavior
A worker's abnormal behavior may signal a problem or dissatisfaction. A manager should possess psychological understanding of workers behavior and their implications. A decreased productivity without other underlying shortcomings should be viewed as a problem and the manager can work it out from this perspective. This mode of determining employee needs is a smart and highly intelligent way that managers should embrace in their working environments. It can be described as a 'magical tool' as the manager can predict your problem from the behavior you display.
Appraisal reports
They provide analytical results of employee performance based on information obtained regarding productivity. It can identify individual efforts and weakness in work place. It can also be used to determine individual problems and needs that a manager can use to proactively engage in problem solving.
Use of immediate superiors
Superiors and team leaders understand their colleagues better than the managers. These superiors are able to gather information from the other workers which can help identify problems within themselves. The supervisor can provide essential information regarding the needs of the subordinates thus being able to come up with ultimate solutions.
Apply mock actions
Not very common but initiating certain actions within the employees could bring out a problem that otherwise would remain unnoticed. Meanwhile mock actions can be used to provide a test result so that managers can learn what is likely to happen should such a problem occur in future. Mock actions should be done carefully so that they do not spark unexpected destructive response from the workers. For instance, a company can put up a mock test by announcing a major lay off exercise and observe the employee behavior from this. This would show a 'green light' on how the manager can confront such case whenever a similar situation it arises.
Interact with subordinates
A manager can move around the working areas talking to workers and inquiring their problems. Hard-lined managers may not be able to get concrete information as the workers may shy off presenting their problems in fears of being victimized through disciplinary actions. Management by walking around (MBWA) is regarded as an effective tool in obtaining workers information.
Close workmates
An extra ordinary manager must be tactful in information gathering. A manager who relies solely on supervisors feed back may miss vital information. Conflicts that may depict a misconduct of the supervisor may not be presented to the manager by the supervisor but only other staff can put forward such information well. However, when using other staff to gather subordinate problems, you should be cautious not to create backstabbers.
A manager who employs these tactics is able to get very vital information from the workers and make wise proactive decisions. Where employees' problems are solved in advance it creates a sense of satisfaction and mutual understanding between the management and the staff.
